Tenant copy within 28 days

You must provide a copy of the certificate to any existing tenant within 28 days of the inspection. New tenants must receive a copy before they move in, not after.

Two-year record retention

Landlords must keep records of every gas safety certificate for at least two years.

Penalties for non-compliance

Unlimited fines, up to two years imprisonment per offence, and potential prosecution by the Health and Safety Executive. Most landlord insurance policies require a valid CP12 as a condition of cover.

The Two-Month Early Renewal Rule

One practical detail many landlords miss: you can carry out the gas safety inspection up to two months before the certificate expires and still keep the same renewal date.

Example: Your CP12 expires on 30 September. You can have the inspection carried out any time in August and the new certificate will show an expiry of 30 September next year — you haven't lost the two months.

This matters for scheduling. If your tenant is difficult to access, or you want to coordinate the gas safety check with other maintenance, the two-month window gives you flexibility.
